Job Description:

The Operations & Scheduling Coordinator is a key role that demands a highly organized, adaptable, and proactive individual who can thrive under pressure. Reporting directly to the Managing Director, this person will juggle multiple projects and responsibilities simultaneously, ensuring smooth operations in a fast-paced environment. You will be the glue that holds various functions together — from managing schedules and coordinating travel to handling customer support and operational tasks. Key Responsibilities:

Scheduling & Coordination

• Plan and manage complex schedules, meetings, and appointments for the Managing Director and internal teams.
• Organize and coordinate travel, including flights, hotels, and restaurant reservations, while ensuring the most efficient itineraries.
• Manage multiple events and customer demos, ensuring flawless logistics under tight deadlines.
• Schedule and track service appointments and follow-ups, ensuring no tasks are overlooked.

Data & Workflow Management

• Maintain, update, and manage critical data, including quote requests, leads, and customer interactions.
• Use Excel and AI tools to automate reporting, track key metrics, and improve operational efficiency.
• Continuously monitor business operations, identifying areas for improvement and proactively addressing issues.
• Ensure high levels of accuracy and attention to detail in tracking and managing data.

Operational Support

• Act as a liaison between departments, ensuring smooth communication and that all operational needs
are met.
• Optimize scheduling processes to maximize efficiency and minimize conflicts.
• Research, recommend, and implement tools or automation to streamline workflows and reduce
manual tasks.
• Support general administrative tasks, including logistics, reporting, and ad-hoc requests.

Qualifications & Skills

• Proven ability to manage high volumes of tasks and projects simultaneously in a fast-paced, high-pressure environment.
• Excellent organizational, time-management, and multitasking skills.
• Strong proficiency in Microsoft Excel (pivot tables, data analysis, automation).
• Familiarity with AI tools for scheduling, automation, and workflow management.
• Problem-solving mindset with the ability to stay calm and effective under pressure.
• Excellent communication skills with a proactive, can-do attitude.
• Ability to work independently, take ownership of tasks, and consistently meet deadlines.
• Valid driver’s license required

Qualifications

• Proven experience in the above responsibilities is essential
• Background in a scientific, medical, or technical environment is a plus.
• Knowledge of CRM systems, project management tools, or business intelligence software.

We support all levels of academic, government, clinical, pharmaceutical, and biotechnology research with innovative products and services.

As a member of our Sales Team, you will work in a team environment to manage and exceed growth expectations in a dynamic territory. This territory will consist of supporting all Life Science and research labs in Montreal and greater area. In this position, you will be responsible for increasing sales by developing working business relationships with our existing customer base and through continued emphasis on developing new customer opportunities. The sales representative will conduct business by meeting customers daily in person (by appointment and door-to-door), via online video call, and through phone and email correspondence. This position will report directly to the National Sales Manager and will work in close partnership with the other members of the sales and specialist team.

 

Requirements /Qualifications:

  • BSc., MSc (preferred) or PhD. in the Life Sciences (molecular biology/biochemistry). An MLT certification is also acceptable.
  • Bilingual, fluency in both French and English is mandatory
  • Strong knowledge of laboratory practice, protocols, and products. Preference will be given to candidates who have worked in a research lab or clinical lab space. 
  • Must be familiar with basic Life Science techniques including Cloning, PCR, qPCR, Cell culture, Western Blot etc.
  • An individual with high energy and motivation to sell leading scientific suppliers
  • Looking to join an enthusiastic, professional selling team with scientific expertise
  • Excellent interpersonal, communication, and organizational skills
  • Able to work both independently and as part of a team to achieve common goals
  • Previous sales or customer service experience is not required but is an asset
  • Working knowledge of CRM software (Salesforce, SharpSpring or Hubspot) & SAP would be an asset
  • Professional demeanor with a customer service focus
  • Resourceful, can identify and develop prospect opportunities to build business pipeline
  • Valid driver’s license and passport required
  • Some overnight travel required
